A Guide to Scheduling Emails in Gmail on Mobile and Desktop

Imagine this: you stayed up late to complete your work report to send to your manager by 8 a.m. the next day. Instead of waking up early or disturbing your manager late at night, you can simply schedule your email with the report to be 7:30 a.m. Sounds cool, doesn’t it? I bet you would like to do the same to make everyone’s life easier. That’s why we’re bringing you a guide to scheduling emails in Gmail on Android, iPhone, and PC.

If you think you need to install a third party app or extension to schedule emails, you are wrong. The email scheduling feature is available in Gmail and automatically sends an email at a specified date and time.

Let’s start. Before moving on to the steps, here are a few things you need to know about scheduling emails in Gmail.

What to know about the scheduling feature in Gmail

  • You can choose any date or time to schedule your email.
  • Scheduled emails will be sent based on your own time zone from where the email was scheduled.
  • You can only schedule 100 emails at a time.
  • Scheduled emails can be sent a few minutes after the scheduled time.
  • You can edit or cancel the scheduled email.
  • The recipient of the email will not know that the email has been scheduled.
  • Once you have programmed an email, you can turn off your computer / mobile or turn off internet services. This is because Gmail will automatically send the email at the specified time, even if you are offline.
  • As of this writing, Gmail does not support scheduling recurring emails.

Let’s start with the PC first, followed by Android and iPhone.

How to schedule emails in Gmail on a computer

Step 1: Open the Gmail website and sign in with your account details.

2nd step: Click on the Compose button to create a new email.

Step 3: The e-mail creation window opens. Enter the recipient’s email address, the subject and the body of the email. Instead of clicking the Send button, click the small arrow next to the Send button. Click Schedule Send.

Step 4: Click on the time available if you want to schedule one of them. To set a custom date and time, click Select date and time. Then set the preferred date and time.

Pro tip: The time zone used to send the scheduled email is mentioned on the screen where you schedule your emails.

That’s it. You will be presented with a confirmation toast in the lower left corner. You can cancel the schedule using the available Cancel button or edit the scheduled emails as shown below.

Step 1: Launch the Gmail app and press the Compose button.

2nd step: Enter all the required details like recipient address, subject, and main body content. Next, tap on the three dots icon at the top. Select Schedule Send from the menu.

Step 3: Select your preferred date and time. To set a custom time, tap Choose date and time. That’s all.

How to edit and cancel scheduled emails in Gmail

Once you’ve scheduled an email, it’s not set in stone. You can change its date / time, send the email immediately, or cancel the scheduled email.

On the web version of Gmail, all of your scheduled emails are present in the new Scheduled folder. You’ll find it in the left sidebar of Gmail where you have Inbox, Starred, Snoozed, etc. Click the Scheduled folder to view your sent emails later.

Click on the email you want to edit or cancel. When the email opens, click the Cancel Send button.

Your message will be converted to a draft. Now, if you want to send the email immediately, click on the send button. To change the scheduled time, you will need to create a schedule as you would for a new email. In other words, click on the arrow icon next to the Send button and select Schedule Send. Then choose the date and time.

If you want to delete or cancel the scheduled email completely, you can click the cross (X) icon on the compose email screen. Your email will be saved as a draft. You can also click the Delete icon at the bottom of the compose email screen to delete the email.

Launch the Gmail app on your phone and open the left sidebar by tapping on the three bar icon. Press Scheduled in the menu.

All your scheduled emails will be displayed. Tap the email to open it. In the email, tap Cancel Send.

Your email will be converted to a draft and behave like a normal email. At this point, the schedule functionality has been canceled. If you want to change the date or time, tap the Edit icon on the email. Then you will need to schedule your email again.

Point: If you don’t see the Edit icon, go to Drafts in the sidebar. Open the email and schedule it.

To schedule an email, tap the three-dot icon and select Schedule sending. Choose your date and time.

Gmail program email not working

If the email was not sent at the specified time, make sure you set the correct date and time. Also, as mentioned earlier, the email will be sent based on your own time zone. So take care of it too.
