How to Create an RSVP Form on Google Forms
RSVP-ing gives an event organizer or event organizer an idea of the number of people present and planning their attendance.
Fun fact: RSVP is an acronym that means Please answer, a French phrase that means Answer it please.
When you send your invitations to events, expect the response from your guests confirming their availability (or unavailability). When they do, you get to know how many people you need to have food, drinks, etc.
However, for your guests to confirm their presence, you need to make it easier for them. And one way to achieve this is to use the popular Google administration tool, Google Forms. We have already written many articles on this subject.
We'll explain the steps to easily create a response form for your guests in Google Forms.
Creating an RSVP Invitation with the help of Google Forms
Check out Google forms on your PC or mobile.
Note: We will use a PC browser for this tutorial.
To use Google Forms, you must have a Google Account. If you do not have an active Google account on your device / browser, you will be asked to sign in or create a new account.
One of the benefits of Google Forms is the presence of predefined templates. Tap the RSVP template option on the home page to begin creating your RSVP form.
You can create your custom form, but the predefined template has the basic elements you want on your RSVP form. The settings that are missing can be added manually. Choosing the predefined RSVP template, however, saves you time and hassle.
Customize your RSVP form
Although the predefined RSVP template on Google Forms has basic questions about RSVP, you can also customize the form to suit your personal preferences or the nature of your event.
Here's how to proceed with the basic Google Form Customization that you will find useful when creating an RSVP form.
Tip 1: Tap the section called RSVP event rename your RSVP form. An ideal title to give your form would be the Event Name + RSVP Ex. RSVP dog show, John RSVP birthday, etc.
Tip 2: Tap the section below the title to edit the address and add relevant contact channels (phone number, email, social network ID, etc.) that will allow your guests to reach you.
Tip 3: The response template on Google Forms comes with predefined questions. Just tap a question field to edit it.
Tip 4: If you do not want any of the predefined questions on your RSVP form, simply select the question field to edit it and tap the trash icon to delete it.
Sharing your RSVP form link
When you have finished customizing your RSVP form, it's time to share it with the people you would invite to your event. Here's how to send a confirmation message to your guests on Google Forms.
1. By email
You can send your RSVP form directly to the email addresses of the people you have invited to your event.
Step 1: In the upper right corner of the RSVP form you just created, press the Send button.
2nd step: In the new pop-up window, enter the email addresses of the people to whom you want to send the RSVP form.
Quick advice: Separate multiple email addresses with a comma.
Step 3: Although optional, you can enter a few additional words in the Message section.
Step 4: Tap Send to transfer the presence confirmation form to the specified email addresses.
Nifty tip: Check the option "Include the form in the email" to embed the form in the recipient's email. This gives your guests the opportunity to directly fill out your RSVP form without leaving their inbox.
2. Via URL (links)
In addition to sending your RSVP form directly to guests via email, you can also create a link to access your form via the Internet.
Here's how.
Step 1: Tap the Send button in the upper right corner of your RSVP form.
2nd step: Go to the Link section of the Send Form window.
Step 3: Select the Shorten URL check box to create a miniaturized version of the link in your form URL.
Step 4: Press the Copy button to copy the link to the clipboard of your device.
You can now share the RSVP link with your guests as text, SMS, or via instant messaging applications such as WhatsApp, iMessage, Telegram, and more.
You can also include the RSVP link on the physical invitation of your event or, even better, convert it to a QR code.
Note: You must inform your guests not to share the link of the RSVP form with anyone. This is to prevent uninvited persons from completing the form.
3. Via social media
You can also share your RSVP form link with your social media channels. You should use this feature if you are planning a public event and you need to get an idea of the potential participants.
Step 1: Tap the Send button in the upper right corner of the form.
2nd step: Tap the Facebook icon to share your RSVP on your wall or Facebook page or tap the Twitter icon to share it on Twitter.
Plan your events with Google Forms
With good planning comes a successful event. To plan properly, you must also prepare your RSVP well. Set up your event's RSVP with Google Forms and use the answers to plan your event correctly.
