Automatically forward email in Microsoft Outlook
Since the transfer can be based on several criteria, we will have to create Rules. This is a feature in Outlook that allows you to perform an action based on specific criteria. Here, our criterion here is to transfer emails. You can use rules for almost anything, including deleted emails, moving them to a folder, and so on.
- Go to File> Rules and alerts> click Manage Rules and Alerts
- In the pop-up window, select the Mail Rules Tab and click New Rule.
- He will open the Rule Wizard which will have two stages:
- Step 1: Choose from an empty rule and select apply the rule on messages I receive
- Step 2: Select the rule that says Apply this rule after the arrival of the message and hit Next.
- In the next screen, you will need to select conditions. On this basis, the incoming e-mails will be transferred.
- Do not select any conditions if you want to transfer all your messages. It is useful if you plan to change your email ID and tell it slowly to everyone.
- If you are only transmitting individual emails, choose based on keywords, email id, specific word, specific group, and so on.
- Make sure you choose to Apply this rule after the arrival of the message. Then press Next and confirm.
- Then you will have to decide where to forward the email. You can check the box that says pass it on to people or a public group.
- Click on the link for people or public group. It will open the contact book from which you can select an email or group ID, or you can enter it.
- The next screen will suggest you to add an exception. If you want some emails to remain in the inbox, you can add them here.
- Finally, you must add a name to the rule in order to recognize it. In addition, you must check the box that says Enable this rule. Click Finish and you are done.
You can also choose to immediately execute the rule to apply in your inbox. If you have assigned multiple accounts in Outlook, you can choose to apply the rule to each account.
